Add, remove or relocate a service

Once approved, providers must let us know about any changes to their services. This includes if you intend to open, close or relocate a service or if your provider changes legal entity. This page outlines what you need to do in these scenarios.

Opening a new service

To add a new service to your existing provider approval, you must complete and submit the ‘add service’ application via the Provider Entry Point (PEP).

Closing a service

Temporary closure

You must tell us if you are temporarily closing your service for any reason and for any period. You can do this via the PEP or your third-party software.

You also need to tell your state or territory regulatory authority.

Permanent closure

You must tell us if you intend to permanently close a service.

Complete the notification of intention to sell, close or relocate a service form and email it to CCSassessments@education.gov.au at least 42 days before you intend to close.

The form must be signed by 2 persons with management or control (PMCs), unless you only have one PMC. After submitting, let us know if your intended closure date changes.

Buying or selling a service

You cannot transfer CCS approval from one provider to another.

If you sell a service, you must let us know so we can cancel the service’s approval. If you purchase a service, you must apply for CCS approval for that service.

We’ll work with both providers to ensure a smooth transition of ownership and minimise disruption to CCS payments.

If you’re selling a service

If you plan to sell a service, you must complete the notification of intention to sell, close or relocate a service form and email it to CCSassessments@education.gov.au at least 42 days before you intend to sell.

The form must be signed by 2 PMCs, unless you only have one PMC. After submitting, let us know if your intended closure date changes.

We cannot grant approval to the provider purchasing the service until your approval is cancelled.

You should advise the purchasing provider to apply for CCS approval as early as possible before proceeding with the sale.

If you’re buying a service

If you buy a service, you must apply for CCS approval for that service. You must do this even if the service was previously approved. This is because the identity of the provider has changed.

Complete and submit the ‘add service’ application via the PEP.

We strongly recommend submitting your application as many weeks as possible before the date of purchase. The application for CCS approval can be submitted before the National Law service approval has been transferred.

Relocating a service

You must tell us if your service is moving to a new location.

A PMC must update the service address in the Child Care Subsidy System. Do this via the PEP or your third-party software. You must tell us within 30 days before you relocate.

You also need to tell your state or territory regulatory authority.

In some cases, you may need to apply for CCS approval at the new location. We’ll let you know if you need to do this.

Change of legal entity

CCS approval is granted to a legal entity, such as a sole trader or a company, known as a provider.

If a provider changes legal entity, for example if a sole trader becomes a company, the existing entity must cancel its approval and the new entity must apply for approval.

Existing legal entity

Complete the notification of intention to sell, close or relocate a service form and email it to CCSassessments@education.gov.au at least 42 days before the legal entity change.

The form must be signed by 2 PMCs, unless you only have one PMC. After submitting, let us know if your intended closure date changes.

New legal entity

You must apply for CCS provider approval. Your application should cover you, the provider, and any services you operate.
